Job Description and Duties

Under supervision provided by the Staff Services Manager I, the Staff Services Analyst (SSA) performs a variety of Personnel and Administration Support duties for the Disbursements Division including reviewing monthly timesheets, posting attendance to the STD 672 form, dock reporting, processing and submission of personnel forms, assisting with the recruitment process, as well as originating correspondence in response to claimant inquiries, completing statistical reports and providing administrative support to the Bureau of Disbursements management. The SSA works in numerous areas where sound judgment, confidentiality, and tact are necessary.

Duties and Responsibilities: (Candidates must perform the following functions with or without reasonable accommodations.)

  • Review monthly timesheets (STD 634) for all employees, verifying leave usage to availability and proper documentation; post leave usage to the STD 672 and submit to HR by the monthly deadline. V erify monthly leave usage to the Leave Activity & Balance Report (LAB) each month, notifying HR of any discrepancies found. 
  • Assist with providing employees with information and documents related to changes including, but not limited to, benefits and annual open enrollment periods, providing the necessary forms required for changes.
  • Responsible for communicating timelines and sending reminders to management regarding monthly deadlines and submitting dock and timesheets timely.
  • Back up HR liaison on personnel related workload, duties include, but not limited to, SCOPES requests, vacancy report, position control report, organization charts, new hire eligibility checks, and onboarding new hires.
  • Communicate monthly with HR to develop and maintain an accurate record of 25 Year Award and Bi-Lingual Pay recipients, Merit Salary Adjustments (MSA), Range Changes, Special In-Grade Salary (SISA), Performance Appraisal Summaries (PAS) and Probationary Reports. Provide training, guidance, consultation and recommendations to managers and supervisors regarding these processes and notify management of outstanding reports monthly, assist management with any questions.

  • Demonstrate experience analyzing and interpreting laws, rules, and regulations.
  • Reason logically and creatively to resolve issues and recommend alternative solutions.
  • Ability to form and maintain cooperative working relationships with all levels of staff.
